Productivity 101

When it comes to time, God gave it equal to all people. No matter where you live, where you were born, who your parents are, or where you went to school. We all have the same amount of time in one day, week, month or year.

Regarding the maximizing of time, here are my top 5 guidelines:

1. Manage energy first. My strength and pace will determine my productivity more than my to do list. If there is no energy for the projects, it becomes harder to be productive.

2. Establish boundries. I do not answer my phone when I am in the middle of something. This distraction can cost me greatly to re-focus and/or regain the time of the person I was already with. I prefer a 30 second voicemail or 1 minute detailed message. Then I can reply with a text, email or phone call as required. The key people around me know to text me if I’m in a mtg vs to call. This let’s me know the fact asap if they need my attention.

3. Calendar to do list. I enter each day’s to do list on my calendar for when I plan to execute the task. I have a compilation list of to do’s organized by department on my iPhone under my Awesome Notes app. Then I calendar accordingly the to do when I will get it done.

4. Keep a journal. I like to capture as many ideas as possible. I do this on a paper journal book. I find that I have a better free flow of throught when I am writing by hand. Then I sort the best ideas into my Awesome Notes app on my iPhone.

5. Prep next day the night before. I review the calendar of appointments and to do schedule each night. This provides me a clear view of what’s coming and then I can hit the day ready. This also provides a moment to reflect and re-organize if necessary and notify the appropriate people.

When possible, delegate tasks to multiply your time to focus on other priorities.
